Apumayo Expediciones Reservation and Cancellations Policies and Conditions
Reservations
As soon as we have your date confirmation and acceptance of prices on a specific itinerary, we open a file and give you a status report on your request.
In case of groups, we accept to receive a preliminary rooming list, at least 30 days prior to arrival for airline and hotel reservations.
Groups
Any pre-established itinerary that is considered a group departure as opposed to a FIT (Free Independent Traveler) itinerary should be booked well in advance with us. This should state the minimum and maximum size of the group and precise arrival & departure date. This is necessary especially for the High Season, between June and September.
FIT Arrangements
We can elaborate itineraries on an FIT basis, in which case, we need to know the minimum and maximum amount of participants including service standards requested. Often group members decide to add side-tips, which are not included. It is mandatory that you inform us of these additional services, so all details in the operation of this FIT program are taken care of and itinerary flows as expected.
Booking a Trip & Payment
We require a deposit of 50% of the total net rate at the time you confirmed the trip, it should be at least 35 days prior to departure date. We also need, at that same time, the final rooming list of participants including:
- Complete Names (as appear in Passport)
- Passport Number
- Nationality
- Date of Birth
Final Payment
Final payment must be done at least 30 days prior to trip departure.
Last Minute Bookings
After confirmation from our operations department, reserva@apumayo.com , total payment must be done. We consider last minute bookings, all bookings made less than 35 days prior to trip departure. We also need, at that same time, the final rooming list of participants including:
- Complete Names (as appear in Passport)
- Passport Number
- Nationality
- Date of Birth
Cancellations
- Cancellations made with more than 91 days prior to trip departure date will be charged with US$150 due to administrative expenses.
- Cancellations between 90 to 61 days prior to trip departure date will be charged 30% of the total payment.
- Cancellations between 60 to 31 days prior to trip departure date will be charged with 50% of the total payment.
- Cancellations made 30 days or less, prior t o trip departure date will be not refund
Inca Trail Booking Conditions
Due to Inca Trail regulations, clients must confirm trip paying the total amount of the trip and must send participant information consisting is:
- Complete Names (as appear in Passport)
- Passport Number
- Nationality
- Date of Birth
